Bulk enrollment (CSV import)

People and access

Use bulk enrollment when you admit a batch of students into the same course: new academic year, corporate cohort, or migration from spreadsheets: without clicking each subscription manually.

Where to find it

Manage students → panel Bulk enroll (CSV) at the top of the page.

What the import does

For each CSV row the system:

  1. Finds an existing student by email or mobile, or
  2. Creates a new student (name required for new accounts), and
  3. Enrolls the student in the single course you select for the import.

Optional welcome email sends sign-in email and password to newly created students (requires working mail configuration and an email column).

CSV format

Recommended header row:

name,email,mobile,password
Ada Lovelace,ada@example.com,9876543210,ChangeMe1
Bob Kumar,bob@example.com,9123456789,

Alternatives:

  • firstName,lastName,email,mobile,password
  • Rows without password receive a random password (communicate via your own channel if welcome email is off).

Rules:

  • Each row needs email or mobile (prefer both).
  • Name required when creating a new account.
  • One course per import run: repeat for additional courses.

Step-by-step

  1. Prepare CSV in Excel or Google Sheets; export as .csv UTF-8.
  2. Open Bulk enroll (CSV).
  3. Select Course from the dropdown.
  4. Upload file or paste rows into the text area.
  5. Tick Email welcome message if appropriate.
  6. Click Import enrollments.
  7. Read the result summary: enrolled, created, skipped, errors per row.

After import

  • Spot-check 2-3 students in Manage students → subscriptions.
  • Have them log in and open My courses.
  • Fix failed rows manually (duplicate email typos, missing names).

Data protection

CSV files contain personal data. Store securely, delete after import, and restrict admin accounts. Align with your privacy policy and local regulations.

What you gain

  • Hours saved on admission day
  • Fewer transcription errors than manual entry
  • Audit trail via import messages for failed rows

Troubleshooting

Message Meaning
Row skipped: name required New user without display name
Duplicate key / already registered Email exists; student should be matched, not recreated
Welcome email failed SMTP/SendGrid config; invalid email
Enrolled 0 Wrong course selected; empty CSV
